1. Who is responsible for your data
AnalysisSwim and analysisswim.com are operated from Singapore by Ivashyn Siarhei (“AnalysisSwim”, “we”, “us” or “our”). We act as the organisation responsible for personal data processed through the platform, except where another party independently determines its own use.
2. Scope of this Policy
This Policy applies to the AnalysisSwim website, member accounts, Race Analysis, Swim or Video Analysis, Pace Clock, training and workout tools, Personal Best, team management, messaging, notifications, moderation, support and other services that link to it.
External websites and services have their own privacy practices. If you follow an external link or use a third-party payment or communications service, review that provider's notice as well.
3. Personal data we process
Account, identity and contact data
- username, screen name, email address, password hash and account status;
- public profile identifier and handle, selected roles and discoverability choice;
- date of birth or age information, gender and preferred pool course where provided;
- login, recovery, security, consent and account-setting records.
Swimming, performance and training data
- athlete name, competition and event details, pool, stroke, distance and result;
- times, splits, markers, starts, turns, stroke metrics, pacing and calculated outputs;
- personal bests, zones, workouts, assignments, results, attendance and achievements;
- reports, comparisons, notes and reference-race information.
Race Analysis videos selected from your device are ordinarily processed in your browser and are not uploaded or stored with the saved analysis unless a feature expressly says otherwise. Browser drafts may preserve analysis state without preserving the original video, so the same video may need to be selected again.
Relationships, communications and safety data
- coach, athlete, parent, club and group connections and permissions;
- private messages between confirmed connections and message status;
- notifications, invitations, reports, limited moderation context, warnings and restrictions;
- support requests and communications with AnalysisSwim.
Technical and usage data
- IP address and protected hashes derived from technical identifiers;
- browser, device, operating system, language, approximate location and timestamps;
- session, security, error, audit and feature-use information;
- cookie and browser-storage choices described in our Cookie Notice.
Transaction data
If you make a donation, purchase or subscription, we may process the amount, currency, transaction reference, status and entitlement information. Payment-card credentials are handled by the selected payment provider and are not intended to be stored by AnalysisSwim.
4. Where data comes from
- directly from you when you register, enter data, upload a file or communicate;
- from a parent, coach, athlete, club or other confirmed connection;
- from platform calculations based on entered markers and measurements;
- from public competition sources or AnalysisSwim's original race-analysis work;
- automatically from your browser, device, security systems and consented analytics;
- from service providers, for example payment or email delivery confirmations.
If you provide data about another person, you are responsible for having authority and any consent required to do so, especially where the person is a minor.
5. Why we use data and the legal grounds
- Provide requested services: create accounts, calculate analyses, save results, deliver reports, maintain connections, messages, notifications and support.
- Operate and secure the platform: authenticate users, prevent misuse, preserve audit records, investigate incidents and enforce platform rules.
- Improve the service: diagnose errors, understand aggregate feature use and develop safer, more useful tools.
- Communicate: send account, recovery, safety, service and transaction messages.
- Meet legal obligations: maintain records, respond to lawful requests and protect legal rights.
Depending on your location and the activity, processing may rely on your consent, performance of our agreement with you, compliance with law, protection of vital interests, or our legitimate interests in operating a secure and useful platform where those interests are not overridden by your rights. Optional analytics relies on your choice and remains off until allowed.
6. When data may be shared
We do not sell personal data. We may disclose limited data to:
- hosting, database, security, email, support and other infrastructure providers;
- Google Analytics and Yandex Metrica only when optional analytics is allowed;
- payment providers chosen for a donation, purchase or subscription;
- confirmed connections and groups according to the permissions and sharing action you select;
- professional advisers, insurers or auditors where reasonably necessary;
- courts, regulators, law enforcement or another party where required by law or necessary to protect safety, rights and the platform;
- a successor in a genuine reorganisation, financing, sale or transfer, subject to appropriate safeguards.
Providers are permitted to use data only for the services and purposes applicable to their role, subject to their contracts and legal responsibilities.
7. Coach, athlete, parent and club connections
Confirmed connections may receive access to sports information according to the connection role and permissions shown in the platform. A coach may, for example, view or update assigned workouts, race analyses, attendance or performance data. Connections do not receive your password, private account-security settings or payment credentials through sports permissions.
Review invitations and permissions carefully. You can pause, remove or block a connection using the available management controls. Some history and safety records may remain after a connection closes where reasonably necessary.
8. Children and minors
A person under 13 must not create or control an independent account. Users aged 13 to 17 may use AnalysisSwim only with permission from a parent or legal guardian and appropriate responsible-adult supervision. A parent-managed child feature may be used only where AnalysisSwim expressly provides one.
Parents, guardians, coaches and clubs must have the authority and safeguarding arrangements required to provide or access a minor's information. We apply higher protection to children's data and may restrict or remove data or access where age, authority or safety cannot be confirmed.

9. International processing and transfers
AnalysisSwim is operated from Singapore and uses internet services that may process data in other countries. Those countries may have different privacy laws. Where required, we use contracts, access controls and other measures intended to provide protection comparable to applicable requirements.
Optional analytics may involve transmission to Google or Yandex infrastructure in multiple locations. You can reject analytics and later change your choice.
10. How long data is kept
We retain personal data only as long as reasonably necessary for the purposes in this Policy, account and service continuity, safety, disputes, legal obligations and enforcement. The period depends on the data and context.
- account and sports records are generally kept while the account or requested feature remains active;
- browser-only drafts remain until updated, reset, expired or cleared from that browser;
- messages and connection history may remain for continuity and safety after a connection changes;
- reports, moderation actions, security logs and restrictions are kept for safety and accountability;
- legal acceptances, transaction and compliance records may be retained longer where needed to establish consent, meet law or resolve claims;
- backup copies expire through normal backup cycles and may be isolated from ordinary use.
When retention is no longer justified, data is deleted, anonymised or securely restricted, subject to technical limitations and lawful exceptions.
11. Security and data incidents
We use technical and organisational measures intended to protect data, including authenticated access, role permissions, password hashing, CSRF protection, moderation controls, limited administrative access, audit records and protected technical hashes. No internet service is completely secure, and we cannot promise absolute security.
Protect your password and recovery email, use trusted devices, close sessions on shared devices and report suspected unauthorised access. We assess suspected data incidents and notify affected people or authorities where applicable law requires it.
12. Your privacy rights and controls
Depending on applicable law, you may be able to:
- request access to and a copy of personal data;
- correct inaccurate or incomplete data;
- request deletion where continued retention is not required or justified;
- withdraw consent, including optional analytics consent;
- object to or request restriction of certain processing;
- request portable data in an available, commonly used format;
- complain to the relevant data-protection authority.
Use available profile, connection, message and privacy controls first. For a data request, email info@analysisswim.com from your account email and describe the request. We may verify identity and authority, especially for a request concerning a minor or another person. Rights are subject to lawful exceptions, including safety, fraud prevention, legal claims and records that must be retained.
13. Cookies, local storage and analytics
Necessary cookies and browser storage support login, security, preferences, consent choices and requested features. Optional Google Analytics and Yandex Metrica do not load until analytics is allowed. Yandex Session Replay (Webvisor) is disabled.
Use the Privacy choices control displayed on the website to accept, reject or change analytics. See the Cookie Notice for names, purposes and indicative durations.
14. Changes to this Policy
We may update this Policy when the platform, providers, law or processing practices change. The current version and effective date appear above. Material changes may be presented through the website or require renewed acceptance where appropriate.
